The words are only half of it; the rest is deciding where each line begins and ends, how long it stays on screen, and what a viewer can absorb in that time while also watching the picture. Almost every subtitling job starts with a transcript, and the quality of that transcript sets the ceiling for everything after it. Decide early whether you want verbatim — every false start, repetition and filler kept — or clean read, where those are tidied away. Verbatim matters for legal, research and documentary work. Clean read is almost always right for marketing, training and course content. Say which you want in the brief, because a subtitler cannot guess, and re-doing it later means re-timing everything too.

Spotting: Where the Craft Actually Lives

Spotting is deciding the in and out point of every subtitle event. Good spotting keeps a subtitle within one shot wherever possible, because a line that survives a cut makes the eye re-read it. It breaks lines at natural grammatical joins rather than wherever the character limit fell. It leaves a small gap between consecutive events so the viewer registers that the text has changed. None of this is visible in a word count, and all of it is the difference between a file people read and a file they switch off.

Reading Speed and Line Length

Reading speed is usually expressed in characters per second, and it is the single most useful number to agree in advance. Too high and a dense passage flashes past unread; too low and the subtitle lags behind the speaker. Line length runs alongside it: most house styles cap a line somewhere in the high thirties to low forties of characters and allow two lines at once. Accessibility Captions Are a Different Brief

Idioms, jokes and cultural references need a decision rather than a literal rendering. Formats, Encoding and the Frame Rate Trap

Two technical details cause most of the delivery problems. The first is encoding: a file saved in the wrong character encoding turns accents and non-Latin scripts into rubbish, so ask for UTF-8 unless something in your chain demands otherwise. The second is frame rate. Subtitle timings are tied to the video they were made against, and a file spotted to one frame rate will drift progressively when applied to another version of the same video. Tell the subtitler the frame rate and the exact cut they are working to, and re-check timings after any re-edit rather than assuming they carried over.

Judging a Sample Properly

When a sample comes back, resist reading it as a document. Load it into the player it is meant for and watch the video. Ask whether you had time to read each line comfortably, whether anything straddled a cut, whether proper nouns and numbers are right, and whether the file imported without a single manual fix. Then check the boring things: encoding, timing offset, and whether the last event runs past the end of the video. A file that passes all of that on your worst audio is a subtitler worth keeping.
