Order Messaging (Communication During Orders)

How to communicate during an active order.

What Is Order Messaging?

Once an order is placed, a dedicated

Order Chatis created for that specific order. This is where all order-related communication should happen, and it's saved against the order so both sides always have the full history.

Accessing Order Chat

For Buyers:

For Zinners:

Your order conversations also appear in your

Messagesinbox (Zinn Messages), so you can pick up any chat from there too — Buyers at

https://zinnhub.com/dashboard/buyer/messages/and Zinners at

https://zinnhub.com/dashboard/zinner/messages/.

What to Use Order Chat For

Do discuss:

  • Order requirements and clarifications
  • Progress updates
  • Questions about the work
  • File sharing for the project
  • Revision requests
  • Timeline discussions

Don't:

  • Take communication off-platform
  • Share personal contact info unnecessarily
  • Discuss unrelated matters
  • Use inappropriate language

Keeping everything in the order chat protects both parties and keeps a clear record if a question ever arises.

Communication Best Practices

For Buyers

  • Be responsive— if your Zinner asks a question, answer promptly. Delays slow down your order.
  • Be clear— explain exactly what you need. Don't assume they can read your mind.
  • Be reasonable— allow time for the work to be completed. There's no need to send repeated messages demanding updates.

For Zinners

  • Acknowledge receipt— when requirements come in, let the buyer know you've received them.
  • Provide updates— for longer projects, occasional progress updates build confidence.
  • Ask questions early— if something is unclear, ask before you start, not after you've completed the work incorrectly.
  • Be professional— even if a buyer is difficult, keep things courteous.

Example Order Chat Messages

Acknowledging requirements:

"Thanks for submitting your requirements! I have everything I need to get started. You can expect delivery by [date]."

Asking for clarification:

"Quick question — you mentioned you want the design in 'blue,' but there are many shades. Did you have a specific blue in mind, or would you like me to suggest some options?"

Progress update:

"Just wanted to let you know I'm making great progress. I've completed the first draft and I'm working on refinements. On track for delivery tomorrow!"

Delivery message:

"Your order is complete! I've attached all the files. Please review and let me know if you need any adjustments."

Notifications

Both parties receive notifications for new messages via:

  • On-site notifications (in the Notificationssection of your dashboard)
  • Email notifications

Make sure your email address is correct and check in regularly so you never miss a message.

Message History

All order messages are saved and can be referenced later, creating a record of:

  • What was discussed
  • What was agreed
  • The timeline of events

This protects both parties. If something goes wrong and you can't resolve it in the chat, you can raise a dispute from the order, and that saved history helps our team review what happened.
